Reviewing Cashup Variances using the Cashup review tab

Learn how to review notifications and variances in Cashup, investigate discrepancies, resolve common data entry errors, and approve your daily takings with confidence.


Before you can approve your daily takings in Cashup, you must review and action any notifications or variances identified by the system. The Review tab acts as your final checkpoint, helping ensure all data has been entered correctly and any discrepancies have been investigated.

This article explains how to review notifications and variances, resolve common issues, and follow best practices before approving the day.

Accessing the Review Tab

Once all daily takings and supporting data have been entered, navigate to the Review tab.

The Review tab displays:

  • Notifications
  • Variances
  • Comments and acceptance options

All items listed must be reviewed, commented on where required, and accepted before the day can be approved.

Understanding Notifications

Notifications alert you to fields that may have been left blank or require further attention.

For each notification, Cashup will display:

  • The relevant Tab
  • A descriptive Message explaining the issue

Video Example: Missing Keno Commission Entry 

If a Keno Commission figure has not been entered, Cashup will generate a notification.

To resolve the notification, you can:

  1. Navigate directly to the relevant page and enter the missing information.
  2. Use the Show Me feature, which provides step-by-step instructions on how to locate and update the missing field.

If the field has been intentionally left blank, enter an explanation in the Comments field and select Accept to acknowledge the notification.

Understanding Variances

Variances are discrepancies identified by Cashup during the reconciliation process.

Each variance displays:

  • The affected Tab
  • The specific Location of the discrepancy
  • The Variance Type

There are two types of variances:

Entry Variance

An Entry Variance occurs when Cashup detects a mismatch in the data entered.

This typically indicates:

  • Incorrect figures entered
  • Missing values
  • Data entry mistakes

Review the relevant reports and verify all figures entered into Cashup.

Cash Variance

A Cash Variance occurs when the physical cash counted differs from the expected cash balance calculated by Cashup.

Important: Any accepted Cash Variances will automatically be posted to your Unders and Overs general ledger account.

Example 1: Resolving a POS Variance

If a POS variance appears in the Review tab:

  1. Navigate to the POS page.
  2. Review the figures entered against your POS reports.
  3. Correct any data entry errors identified.
  4. Return to the Review tab.

Once the error has been corrected, the variance will automatically update and disappear from the list.

Example 2: Resolving a TAB Variance

If a TAB variance appears:

  1. Navigate to the Wagering page.
  2. Review the reported figures and physical cash count.
  3. Identify any missing or incorrect entries.
  4. Enter the correct cash amount.
  5. Return to the Review tab.

After updating the missing information, the variance will automatically recalculate and clear.

Best Practices for Reviewing Variances

Before accepting any variance, follow these investigation steps.

1. Double-Check Data Entry

Many variances are caused by simple typing errors.

Compare the figures entered into Cashup against:

  • POS reports
  • Gaming reports
  • Wagering reports
  • Other supporting documentation

2. Verify Physical Cash Counts

For register or safe variances:

  • Recount the cash
  • Check for misplaced notes or coins
  • Confirm bundles have been counted correctly

3. Correct Errors at the Source

If you identify an incorrect entry:

  • Return to the relevant tab
  • Update the figure
  • Allow Cashup to automatically recalculate the variance

Avoid accepting variances caused by data entry mistakes.

4. Leave Detailed Comments

If a variance is genuine and cannot be resolved:

  • Investigate the issue with your team
  • Record a clear explanation in the Comments field
  • Accept the variance once the investigation is complete

Detailed comments provide an important audit trail for management and finance teams.

Approving the Day

Before approving the day:

  • Review every notification and variance
  • Investigate and resolve issues where possible
  • Enter comments for accepted items
  • Tick Accept for each line item

Once all items have been reviewed and accepted, the day is ready for approval.
